Privacy policy

Your data, handled with care.

This policy explains what CogniResume collects, how we use it, and the choices you have. We aim to keep this short, readable, and honest.

Overview

CogniResume is a Chrome extension and companion website that helps job seekers tailor their resumes to specific job posts. We collect only what is needed to provide that experience — primarily the resume content you choose to upload, the job posts you are tailoring against, and the account information required to sign you in.

We do not sell your personal information. We do not use your resume content to train third-party models.

Data we collect

  • Account information. When you sign in with Google, we receive your name, email address, profile picture URL, and a Google account identifier. We use this to create and authenticate your CogniResume account.
  • Resume content. Any resume text, files, or fields you upload or paste into CogniResume are stored so the extension can tailor them to new roles.
  • Job post content. When you capture a job post through the extension or paste one in, we store that text so we can match it against your resume and show you fit guidance.
  • Payment information. When you purchase credits, payments are processed by Stripe. Card details and full billing information are submitted directly to Stripe and never touch our servers. We receive and store only a Stripe customer reference, checkout session ID, the credit pack purchased, amount, currency, and payment status so we can credit your account and show your purchase history.
  • Usage data. Basic, non-identifying logs (such as which features were used and error reports) help us keep the product reliable. We do not build advertising profiles.
  • Cookies and local storage. The website uses a minimal set of first-party cookies and local storage for session management. The extension uses chrome.storage.local to keep you signed in.

How we use it

  • To generate tailored resume drafts, fit scores, and keyword suggestions.
  • To authenticate you and keep your account and saved resumes accessible across sessions.
  • To monitor service health, debug issues, and protect against abuse.
  • To communicate with you about your account or material changes to the service.

We do not use your resume or job post content for advertising, and we do not share it with third parties except as described in the next section.

Sharing & processors

CogniResume relies on a small number of trusted service providers to operate. These providers process data on our behalf under contractual confidentiality and security obligations:

  • Google Sign-In — to authenticate your account.
  • Cloud hosting — to run the backend service and store account data and your resumes.
  • Stripe (payment processing) — when you buy credits, you are redirected to Stripe Checkout. Stripe collects your card number, billing details, and any tax information directly; CogniResume never sees or stores raw card data. Stripe shares back a customer reference, checkout session ID, amount, currency, and payment status so we can credit your account. Stripe's handling of this data is governed by its own privacy policy.
  • AI model providers (resume tailoring & ATS analysis) — when you ask CogniResume to tailor a resume, score fit, or extract keywords, we send the relevant inputs to a third-party large language model API (currently OpenAI). Those inputs are limited to the resume text and the job post text you are tailoring against — which may include personal details you have chosen to put on your resume, such as your name, contact information, and employment history. We do not send your payment information, Google account identifier, or our internal account records. Under our API agreement with the provider, the content is processed only to return a response to us and is not used to train their models. Generated outputs are returned to your CogniResume account; you can delete them at any time.

We may also disclose information if required by law, to protect our rights, or in connection with a business transfer, in which case we will provide notice where appropriate.

Retention

We keep your account information and saved resumes for as long as your account is active. You can delete individual resumes or tailored versions from inside the extension at any time. When you delete your account, we remove your stored content from production systems within 30 days, except where we are required to retain limited records to comply with legal obligations.

Your rights

Depending on where you live, you may have the right to access, correct, export, or delete the personal information we hold about you, and to object to or restrict certain processing. You can exercise these rights by emailing us at the address below. We will respond within a reasonable time and may need to verify your identity before acting on a request.

Security

We use industry-standard safeguards including encryption in transit, encrypted storage, scoped access controls, and short-lived authentication tokens. No system is perfectly secure, but we work to reduce risk and respond quickly if something goes wrong.

Changes to this policy

If we make material changes, we will update this page and revise the “Last updated” date. For significant changes we will also notify you by email or in the extension before they take effect.
